New Applicant Procedure

If the Secretary is unavailable, another Director may perform the following in her stead. Each of these steps should be completed, regardless of whether this is the first time a given applicant is being considered, or a subsequent time.

  1. A completed application form is received by the Secretary. The Secretary ensures that all required information is included.

  2. The Secretary posts an announcement to announce@kwartzlab.ca, advising the membership of the new applicant, and specifying when the applicant will be considered. The membership-at-large is invited to comment.

  3. The Secretary contacts the applicant with the date and time that their application will be considered for membership. The applicant is invited to attend.

  4. If the applicant was accepted,

    • the Secretary will contact the new member, advising them of the fees & dues now owed, how to obtain their key, and their place in the cleaning schedule
    • the Secretary will update the membership registrar
    • the Secretary will create the new member account on the website, and subscribe the new member to the appropriate mailing lists
    • the Secretary will post an announcement to announce@kwartzlab.ca, introducing the new member to the group
  5. If the applicant was not accepted, the Secretary will notify the applicant of this, advising them whether or not their application will be kept on file. In cases where the application will be kept on file, the applicant will also be invited to attend more public events.
